Intelligent Systems Design - 300 Applicants, 6 Systems, 1 Simple Process

1. About the Client  

We worked with a very well-known holiday company that runs both ski and beach destinations, so their year naturally swings between busy seasons and quieter ones.  

2. The Challenge  

Because of that seasonality, they bring in several hundred temporary operational staff every year. Their Applicant Tracking System (ATS) handles the early stages, but once someone is hired, there’s a mountain of admin that needs to happen.  

CVs, passports, and certificates all must be collected and transferred into the internal staff system. Personal details need to be stored accurately and training organised. Reference checks have to be chased. Everything ends up being tracked in yet another system or project management tool. It’s a huge amount of work, and as soon as one season finishes, the cycle starts again. 

3. How We Helped 

We integrated all the main HR systems they relied on, so the information could finally flow where it needed to without endless manual effort. We also built a portal that gave the team a simple way to manage any data mapping between systems and to see exactly where each applicant was in the process. In the end, they could track the filling of roles directly through Monday.com in real time, without wrestling with multiple tools. 

4. What We Achieved Together 

The HR team now spends most of their time doing the work only humans can do, supporting people, planning, making good decisions, instead of battling with data entry. They have a clearer view of the entire recruitment workflow and only have to deal with real issues or exceptions rather than routine tasks. The team is noticeably more fulfilled because their energy is channelled into meaningful work instead of repetitive admin.
