Automating API Check Ins for 10,000+ Passengers
1. About the Client
We worked with a large UK travel retailer that handles all kinds of holidays—packages, cruises, golf trips, and everything in between. They pride themselves on taking care of the details for their customers.
2. The Challenge
One of the services they offer is managing online check-ins for their passengers. That means gathering and entering API, Advanced Passenger Information, into a wide range of supplier websites and portals. Each supplier has its own system, its own quirks, and its own expectations. And because this relies on passport data, there’s zero room for error. For the team handling high volumes, the process was time-consuming and unforgiving.
3. How We Helped
We built an automated bot that quietly keeps track of which bookings are ready for the check-in process. When a booking is ready, the bot performs its own QA checks, making sure passport numbers are the right length, expiry dates make sense, and the country of issue is valid. If something doesn’t pass those checks, it goes into an exception report for the team to resolve. If everything looks good, the bot continues and submits the information directly to the relevant suppliers, including Jet2, easyJet, TUI, MSC, Inghams, and Santa’s Lapland.
4. What We Achieved Together
Since going live around a year ago, the automation has processed more than 4,000 supplier bookings and successfully submitted API for over 10,000 passengers. That’s hundreds of hours of admin the team no longer has to endure. It’s the kind of change that’s felt day to day, with less repetitive work, fewer mistakes, and a smoother experience for customers.
6. What This Means Going Forward
The automation has saved the client a significant amount of time and cost, but more importantly, it’s helped them deliver a high level of service without overloading their team. It’s a simple example of how the right technology can quietly take weight off people’s shoulders so they can focus on what they do best.
