1. About the Client 

Clarity is a business travel management company that works with a wide range of clients, with a particular focus on large public sector organisations. Their role is to make business travel and meeting bookings simple and easy to manage. 

2. The Challenge 

Each day, Clarity processes thousands of transactions on behalf of clients. Each one needs to be posted correctly to the purchase ledger, invoiced, and reconciled in the accounting system. Along the way, checks are required to make sure everything lines up exactly as expected. The volume is high, the turnaround time is tight, and even small mistakes can quickly create bigger problems. Doing all of this by hand simply isn’t viable. 

3. How We Helped 

We worked with Clarity to automate large parts of this process by integrating directly with their in-house accounting system and their payment provider. In many cases, the entire journey, from transaction through to reconciliation. now runs without any human involvement. When something can’t be handled automatically, it’s passed back to Clarity’s billing team as a clear exception, ready for manual review.

By focusing people’s time only on genuine exceptions, the team can handle the full transaction volume with far fewer resources and at a much higher speed. Invoices are raised automatically and more accurately, which reduces errors, protects revenue, and helps maintain client trust. At the same time, automated reconciliation keeps the ledgers clean and consistent, meeting both internal expectations and external audit requirements.
